Winter Housing

May Closing

All UE Residential facilities officially close at Noon on the Thursday following Finals Week. However, students must officially check out of housing within 24 hours following their last exam.

If you need to stay later an Extended Stay Request must be submitted by 5pm on Reading & Study Day.  These are available in the Residence Life Office.  There will be a $25 per night fee depending on the reason for staying.  Graduating seniors and those participating in graduation may remain in housing until noon the day following commencement.

To check out, students must schedule an appointment with an RA 48 hours in advance. At a checkout appointment, the room must be vacated and clean. The RA will check the room and furnishings for damages. Students will provide the RA with the room keys, fill out all paperwork and sign the checkout form during their checkout appointment.

Personal property left after checkout times will be removed from rooms and disposed of by the University. Students whose rooms require extra cleanup after checkout will be charged a minimum of $50. An additional fine of $50 will be charged for failure to check out properly and $25 will be charged for failure to return room keys.

Residence Hall Check-Out   Your Resident Assistant will post a sign on his/her door for check-out appointments. Residents must sign-up for a time 48 hours in advance. If you are unable to sign up for a time with your Resident Assistant, please sign-up with another Resident Assistant in your building.  Be sure to keep your check-out appointment to avoid improper check-out charges.

Prior to your checkout appointment be sure to have all your items packed up and have the room in a clean condition.  Plan ahead and set aside time to adequately clean and prepare your room to avoid charges for improper check-out or cleaning.

At your checkout appointment the Resident Assistant will:

  • Thoroughly check the room for damages and make note of the damages.  (charges will be assessed by the Residential Coordinator at a later time)

  • Request that you fill out your summer forwarding address on the RCR and sign your check-out form.

  • Collect your key (failure to return your key will result in a $25.00 charge, please do not slide keys under the Resident Assistant’s door)

Before you checkout don’t forget to:

  • Unplug and clean your MicroFridge (if you rented one)

  • Return your rented loft to a designated collection center (if you rented one).  More information will be provided.

  • Contact your Hall Staff by posted deadlines if you want to use one of the storage closets for the summer.

Village Resident Check-Out   Residents in the Villages follow a different procedure. Village residents will have the option of an Express Checkout.

All residents using the Express Checkout will complete an Express Checkout form and hand-deliver it to their Resident Assistant or the Office of Residence Life.

When checking out of a Village space, follow all procedures, and take care to clean and prepare your apartment to avoid check-out fees.

Winter Break & Checking Out

Residence Halls Close

We ask that all students depart within 24 hours after their last final.   All students living in the residence halls are required to vacate their rooms during Winter Break.

(While students may leave their possessions in their rooms, they may want to bring valuables home to guard against unforeseen damage or theft.)

The residence halls officially close at Noon on Thursday, December 18, 2008.  All exterior door locks will be changed at that time.

Be sure to turn off alarm clocks, close and lock windows and doors, and properly dispose of any garbage.   Click here for a winter closing checklist.

Students not Returning

If students are not returning for Spring semester, they should arrange a check out time with their RA 48 hours in advance.  RAs are students with finals too, so it is important to set up a mutually convenient time.  (Failure to check out properly and return keys result in a $75 administrative fee for Improper Checkout and a Door Re-Core.)
